The purpose of this role is to support HR manager in providing HR policies, procedures and facilities services for the daily operations of Intergraph Korea. Specifically, this role takes the responsibility of HR administration on assisting day to day operations and also will be responsible for performing professional office administration duties toward variety of employee requests.

HR Administrative Assistant

  • On Boarding & Off Boarding

  • Co-ordinate the administration of the hiring process

  • Provide guidance for on-boarding preparation of new hire

  • Co-ordinate with internal stakeholders (IT, Marketing, Finance etc) for new hire preparation

  • Confirm the workstation, telephone # and update an internal phone book

  • Register Groupware system and provide guidance

  • Consolidate on boarding documentations and filing

  • Proceed to prepare Access card / Nameplate/ Business Card/ AMEX Card

  • Give an induction for internal facilities usage

  • Co-ordinate the administration of the termination process

  • Provide guidance for exit preparation of termination

  • Confirm termination check list for returns (Access card / Nameplate/ AMEX Card etc)

  • Consolidate off boarding documentations and filing

  • Employee Benefit Service

  • Deal with employee requests for congratulations and condolences

  • Contact the vendor for request of wreaths of flowers & gift and proceed monthly payment process

  • Prepare employee news and an internal announcement

  • Prepare holiday gift for employees for the new year and thanksgiving

  • Maintain and update employees paid leaves

  • Check and update employee list for Group Health Insurance

  • Implement annual employee medical check-up

  • Implement Employee Service Awards

  • Manage employee’s birthday gift

  • Manage book list in cafeteria

  • Employee Data Management & Other HR administrations

  • Update and revise employee information in GroupWare system

  • Update employee list and contact information

  • VISA issuance of work permit and business purpose for foreigners

  • Assist to make a leasing contract of accommodations for foreigners.

  • Any other tasks or projects as directed by HR manager

  • Support internal events as required

  • Office Management

  • Manage external vendors for office facilities and stationery and other consumable supplies

  • (Water purifier & Fax & Printer maintenance so on)

  • Update and revise employee information in GroupWare system

  • Manage & co-ordinate with IT for access card (including Security Card for visitors)

  • Deal with representative telephone and visitors

  • Manage parking service for visitors

  • Manage postal & parcel requests only business related

  • Others

  • Any requested project & program follow up from HR Manager

  • Working knowledge of MS Office

  • Good command of English, both spoken and written is required

  • Proactive, proven initiative and deadline driven.

  • Initiative and willingness to learn new processes & tasks.
